Before approving a T-shirt or hoodie sample, put the garment beside the specification and record what you checked. A short written review gives both the brand and supplier a clearer basis for revisions than an unqualified message saying that the sample looks good.
Identify the sample you are reviewing
Record the style reference, sample size, color, date and specification version. Ask which materials and details represent the intended bulk garment and which are temporary substitutes. Keep photos of the front, back and any details that require changes.
Check measurements and fit
Compare the sample with the agreed measurement chart using the agreed measuring method. Record the actual measurements and any questions rather than judging only by the size label. For a T-shirt, review body length, width, sleeves and neckline against your requirements. For a hoodie, also review the hood, cuffs, hem and intended layering fit.
Make clear which size you have reviewed. Approval of one sample size should not be treated as a record that every size has been checked. Ask what additional size review is appropriate for your collection.
Review fabric and construction
Compare the material with the agreed reference or specification. Ask the supplier to confirm composition and weight instead of identifying them from appearance alone. Review seams, hems, closures and pockets that are part of your design. If wash performance matters for the order, agree how it will be assessed and what result is acceptable before treating it as approved.
When comparing fabric options, use our fabric and color reference library to note the fabric reference you want reviewed. Ask for a physical swatch and confirm the actual composition, weight and color before sample approval; screen images alone are not an approval standard.
Review branding and packaging
Check artwork, dimensions, placement and spelling against your approved files. Review labels, hangtags and packaging separately. Note whether these items are included in the sample or still need to be supplied for review. A correct garment does not establish that all branding materials are also correct.
Write comments that can be acted on
Give each issue a number and identify the affected detail. Separate a difference from the agreed specification from a new preference you discovered during fitting. Ask the supplier to confirm the proposed correction, whether a new sample is needed, and any effect on cost or timing.

Keep the approval record
State what is approved and what remains open, with the sample and file versions identified. Confirm that the supplier has received and understood the decision. Avoid changing the design after approval without updating the specifications and reviewing the effect on the order.
